You Probably Don't Need to Automate Everything.
You Need to Find the Few Things Worth Automating First.
Most businesses already have software. The opportunity is often in the work that still happens between people, calls, emails, texts, spreadsheets and those systems.
During this complimentary working session, NCRTS will help you look at where that friction is occurring and identify the AI and automation opportunities that may be worth investigating further.
NCRTS's Free Automation Opportunity Review is a complimentary working session for businesses that want to understand where AI and workflow automation could reduce manual work, improve responsiveness, recover missed opportunities or connect disconnected systems. The session is designed to identify promising opportunities at a high level before deciding whether a deeper Workflow Automation Audit is justified.
Already booked? Keep reading. In five minutes you'll know exactly what to expect and how to prepare.
This Is Not a Generic Automation Presentation.
It is a conversation about your business.
We will not spend your session showing you dozens of AI tools or telling you that everything should be automated. Instead, we will look for places where work is currently taking too much time, moving too slowly, getting lost between systems or depending too heavily on someone remembering what to do next.
Too Much Manual Work
Where are people repeatedly copying information, chasing updates, answering the same questions or coordinating routine tasks?
Response Is Too Slow
Where can a delayed response cost a customer, lead, job, bid or service opportunity?
Work Falls Between Systems
What still moves through email, phone, text, spreadsheets, photos or handwritten notes even though you already have business software?
Opportunities Are Being Missed
Where are leads, estimates, quotes, RFPs, follow-ups, client requests or other revenue opportunities going cold?
What We'll Explore Together
Understand the Friction
Tell us what is consuming time, creating delays or requiring too much coordination today.
Look at the Workflow
We'll understand at a high level who is involved, where information comes from, what systems you use and where the handoffs occur.
Identify Automation Possibilities
We'll discuss where AI, automation or integration may realistically help and where human involvement should remain.
Find the Best Place to Start
If there is a meaningful opportunity, we'll help identify which workflow appears most worth investigating first.
What You Should Leave the Session Knowing
Where the Opportunity May Be
One or two business workflows that appear to deserve closer attention.
What Automation Could Realistically Do
A high-level view of how automation could reduce manual effort, improve response or connect information.
What Should Stay Human
Not every decision belongs with AI. We'll identify where human judgment, approval or expertise remains important.
Where to Start First
If several opportunities exist, we'll discuss which one appears to offer the strongest combination of impact and practicality.
Whether It Is Worth Going Deeper
You should leave with a clearer idea of whether a formal Automation Audit is justified.
Sometimes the Most Valuable Outcome Is Discovering What Not to Automate.
Automating a low-value process simply creates a faster low-value process. NCRTS focuses on finding opportunities where automation has a realistic business reason behind it:
What Could That Look Like in Your Business?
Every business is different. Here are examples of the kinds of questions we may explore.
Commercial Cleaning
Could AI help you:
- respond to RFPs and bid opportunities faster?
- reduce repetitive applicant communication?
- make multilingual crew communication easier?
- route client requests without supervisors becoming message routers?
- follow up consistently after proposals?
- connect communication around the cleaning software you already use?
Restoration
Could AI help you:
- respond to after-hours losses faster?
- capture complete intake information the first time?
- improve dispatch and on-call handoffs?
- detect missing field documentation sooner?
- keep homeowners and property managers updated automatically?
- move completed jobs toward administrative and billing readiness faster?
Commercial Field Service
Could AI help you:
- turn calls and emails into structured service requests?
- convert technician voice notes, photos and messages into actions?
- move inspection deficiencies into a quote workflow?
- follow up consistently on open repair quotes?
- reduce routine customer status calls?
- connect work happening outside your FSM back into your systems?
Home Improvement
Could AI help you:
- respond to homeowner inquiries immediately?
- book more consultations?
- reduce appointment no-shows?
- systematically follow up on unsold estimates?
- detect buying signals and route them to salespeople?
- keep homeowners informed after the sale?
- generate reviews and referrals consistently?
Already Scheduled? Here's How to Get the Most From Your 30 Minutes.
You don't need to prepare a presentation. Just come prepared to talk about one process that frustrates your team.
1. One Workflow
Something repetitive, slow, inconsistent or dependent on manual follow-up. Examples:
- “A customer calls and three people get involved before the request reaches the right person.”
- “Our team sends estimates, but follow-up is inconsistent.”
- “Our technicians text photos and voice notes and someone in the office has to sort everything out.”
- “Applicants keep asking the same questions and scheduling interviews takes too much time.”
2. Approximate Volume
How often does it happen? Ten times a week? Hundreds of times a month? We do not need perfect numbers.
3. Who Touches It
Which people or teams are involved? Office? Sales? Operations? Field staff? Managers?
4. Systems You Already Use
CRM, field-service platform, accounting software, scheduling system, email, phone, SMS, WhatsApp or other tools.
Your Session Is Already More Valuable If You Bring Just One Real Workflow.
You do not need:
You simply need to know:
“Here's something in our business that takes too much time or doesn't work as consistently as it should.”
We'll start there.
What the Complimentary Review Is — And What It Isn't
The Opportunity Review
A high-level working conversation to identify whether there appears to be a meaningful automation opportunity.
We may discuss:
- business friction
- workflow candidates
- possible automation approaches
- existing systems
- expected business impact
- possible first workflow
The Automation Audit
If an opportunity looks worth pursuing, NCRTS may recommend a formal Workflow Automation Audit.
That is where we go much deeper into:
- current-state workflow mapping
- people and system handoffs
- process exceptions
- integration requirements
- business rules
- human approval points
- automation architecture
- measurable success criteria
- pilot design
- implementation roadmap
The Free Review Answers: “Is there something here worth solving?”
The Audit Answers: “Exactly how should we solve it?”
What Happens After the Review?
No Clear Automation Case
We'll tell you. Not every workflow needs AI, and we do not recommend automation simply to sell automation.
A Simple Opportunity
Sometimes the next step may be straightforward enough to scope directly.
A High-Value or More Complex Opportunity
We may recommend a structured Workflow Automation Audit before implementation. The objective is to understand the business case before committing to technology.
If a Deeper Audit Makes Sense
The Automation Audit is designed to give you a practical blueprint for deciding what to automate, how it should work and how success should be measured.
And if NCRTS subsequently implements an approved recommendation:
50% of the audit fee is credited toward the implementation.
Because part of the workflow analysis, requirements and solution design created during the audit can be reused during implementation. The audit is valuable on its own — the implementation credit simply avoids making you pay twice for work we can reuse.
The Costliest Workflow May Be the One Nobody Has Questioned Yet.
Most manual workflows did not get intentionally designed. They evolved.
Someone started maintaining a spreadsheet. A supervisor became the person everyone texts. A salesperson began following up manually. An administrator started copying information between two systems.
And eventually: “That's just how we do it.”
AI and automation create an opportunity to ask a different question:
Does this work still need to happen this way?
Your Opportunity Review is designed to start answering that question.
Who Should Join the Session?
Ideally, include one person who understands how the workflow actually happens today. That may be:
You do not need an IT person unless the discussion specifically requires one.
Frequently Asked Questions About the Free Automation Opportunity Review
Is the Automation Opportunity Review really free?
Yes. The initial Opportunity Review is complimentary. Its purpose is to understand your business at a high level and determine whether there appears to be a worthwhile automation opportunity.
Is this the same as an automation audit?
No. The Opportunity Review is a high-level diagnostic conversation. A formal Workflow Automation Audit involves deeper workflow mapping, process analysis, integration requirements, automation design, success metrics and recommended implementation steps.
How long does the Opportunity Review take?
Approximately 30 minutes.
What should I prepare?
You do not need formal documentation. Come prepared to describe one workflow that feels repetitive, slow, inconsistent or too dependent on manual follow-up.
Do we need to know what AI solution we want?
No. In fact, it is often better if you do not start with a technology. Start with the business problem. NCRTS can then consider whether AI, conventional automation, integration or simply a better process is appropriate.
Do we have to replace our existing software?
Usually not. NCRTS's approach is generally to automate around and between the systems that already work for the business rather than replace them unnecessarily.
What kinds of workflows can NCRTS review?
Examples include customer intake, lead response, appointment scheduling, RFP workflows, recruiting communication, field-to-office communication, quote follow-up, documentation follow-up, customer updates, reviews, approvals and other repetitive operational processes.
Will you recommend automation even if the business case is weak?
No. One objective of the review is determining whether the opportunity is meaningful enough to pursue.
What happens if we identify a strong opportunity?
Depending on complexity, NCRTS may recommend a deeper Workflow Automation Audit or a clearly scoped next step.
Is NCRTS only for large companies?
No. NCRTS focuses heavily on practical AI and automation for small and midsized businesses where lean teams and operational efficiency matter.
